Report of Overdue Timesheets

In addition to the email notifications that go out to users/supervisors, my organization needs a way to notify an HR Manager of timesheets that still need to be completed.  Since the email notifications cannot be configured, I was told to build a report and schedule it run regularly and email the results.  That part is working okay, but the report is missing several overdue timesheets.

The current report config is:
-All Users
-Last Timesheet Period
-Approval Status = Open

The issues is that if a user has not even started their timesheet for a given week, it is not being caught by the Approval Status="Open" criteria.  It seems that since they have not yet started a timesheet, it does not have a status.

How can I develop a report to catch all employees who are required to submit a timesheet by the due date but haven't yet?

Before we proceed we would like to confirm if you are referring to timesheets that are generated but no time has been entered on it.

My organization assumes that all active employees need to submit a timesheet weekly.  The report needs to capture all situations where a timesheet is overdue, such as:
  • Employee entered some time but never clicked 'Submit'
  • Employee generated a timesheet but has entered 0 hours
  • Employee has not even logged into Replicon in the past week

Hi Jordan,

Thank you for the response.

In the current version of Replicon the timesheet gets generated irrespective of the user logging in. i.e. Every week the system automatically generates the timesheet. Hence there will always be a timesheet in the system for the previous timesheet period.

Please create a report based on the timesheet period template:

- Go to Reports
- Click on Add New Report
- Choose Report Type as - Timesheet Period Template
- Add the required fields 
- Create the report
- Add the filters and adjust them as per the requirement
- Run the report
- Schedule if required.

I have built out the filters as instructed by my Replicon trainer but the report appears to miss several timesheets.

Here is the outcome of that report for last week:


Now, if I go to the Billing tab and look at all timesheets, I see that several in the given period are 'Not Submitted'.  Why are these not showing on the report?

It was Timesheet Day Template.  I created a new one after reading your instructions for Timesheet Period Template and now all timesheets display as expected.  What is the difference between those?

Hi Jordan,

Thank you for the confirmation.

The timesheet day template will display the timesheets only if time has been entered in the timesheet. It looks for hours entered on the timesheet. On the other hand timesheet period template is designed to show all the timesheets existing in a particular timesheet period irrespective of the hours being entered on it.
