Thank you for using Replicon Community.

To reopen, resubmit, approve, reject or delete approved timesheets / waiting for approval timesheets and to mark historic timesheets as billed or clear billing, follow the steps given below:
  • Log into Replicon as the administrator.
  • Select the Administration tab from the top menu bar.
  • Select Historical Timesheet from the left pane, under the Shortcuts category.
  • Check off the required timesheets and click the necessary action buttons at the bottom.
Note: Only the Replicon Administrator can change the Billed status of a timesheet to Billed or Clear Billing, from the Historical Timesheets. The Billed status indicates that the timesheet has been billed to the client. This feature is available in the Project & Billing module of the application.   The administrator can make the necessary changes to the timesheet and directly approve it or choose to submit the timesheet which again goes through the approval process defined in the system.   Reopening, editing and approving the timesheet will trigger e-mail notifications from Replicon to the respective users. A 'Timesheet Modified' e-mail notification is sent, followed by the 'Timesheet is approved' email notification. If users must not receive duplicate e-mail notifications during the process of editing and re-approving timesheets, then click here to review the steps on how to disable specific email notification for a user. After editing and approving the timesheet again, enable these email notifications back in the user profile.   To reopen and edit an In-out or Locked In-out timesheet from Historical Timesheets:
  • Log into Replicon as the administrator.
  • Select the Administration tab at the top menu bar.
  • Select Historical Timesheets from the left pane, under the Shortcuts category.
  • Use the Basic Filters at the top, in the Historical Timesheets page in-order to narrow down the historical timesheet you are looking for.
  • Put a check mark next to the timesheet that requires modification.
  • Click the Reopen button at the bottom of the page.
  • In the next page, confirm reopening the timesheet by clicking the Yes button.
  • The timesheet status is now set to Not Submitted hence, change the Approval Status in the Basic Filters to Not Submitted.
  • Click the View button (represented by a notepad and magnifying glass icon) next to the timesheet that is to be edited.
  • The Period In View page appears. Click on the respective date (e.g., Monday, August 15, 11), on this page, for which the changes need to be made.
  • After making the necessary changes to the timesheet, click the Save button at the bottom and then click the View Period button, to go back to the Period In View page.
More Information: There are two types of filters available on the Historical Timesheet page:
  • Basic Filter
  • Advanced Filter
The available options under Basic Filter are,
  • User: This will display all the users available in the Timesheet.
  • Timesheet Period: This will display all the timesheet periods that are generated for the users.
  • Department: This will display all the departments.
  • Approval Status: This will provide the timesheet status.
The available options under Advanced Filter are,

  • User: This will display all the users available in the Timesheet.
  • Timesheet Period: This will display all the timesheet periods that are generated by the users.
  • Department: This will display all the departments.
  • Approval Status: This will provide the timesheet status.
  • Employee Type: This will provide the information about the Employee type of the users, assigned under the user profile.
  • Awaiting On: This will display the user's name, who needs to approve the TimeSheet.
  • Billed: This option is used to filter the timesheets based on timesheets billed and not billed.
To switch between Basic or Advanced filters, click the Basic Filter or Advanced Filter button that displays the top right-hand corner of the filter box.   Note:
  • Enter or select search criteria in the fields. Under Advanced filter.
  • Click Apply. The list of timesheets will refresh based on the criteria you specified.
  • Filter criteria are saved within a single Replicon session.
  • Click Reset to restore all filters to their default settings.
  • For fields that are available in both Basic or Advanced filters, selections made in the Advanced filter are not saved in the Basic filter, and vice versa.
