Ability to attach Documents/URLs at the time off booking level

In some organizations, the employees are required to attach documents while making a time off booking. For example, a doctor’s note for a sick time off. To avoid external transfers of these documents through emails, Replicon has introduced the ability to create fields in order to attach documents at the time off level. 

If you have been using the time off module of Replicon, you would have observed the ability to add custom fields (of type Date/Text/Number/Drop Down) at the time off booking level. Below are some of the differences between the old custom fields that you could create at the time off booking level and the new fields for time off that Replicon has introduced.


How to create these fields?
In order to create these fields, go to Administration – Time off types and open the time off type at which the custom field should be created. Click on “+Add Field” option available under Additional Fields section and choose “+Create Field Definition” Choose the Name and Description for the new field and set the type to “File / Web Address (URL)”. In the options that show up now, choose if you would like the users to upload only file or add only URL or you would like to provide a choice to the user to choose whether to upload file or add URL

Once you save it, click on “+Add Field” option and choose the newly created field.

How do these fields work?
While adding the field if you have chosen “File Upload and Web Address (URL)”, the field appears as follows on the time off type level

As you have enabled both the options, when you click on “+File” the following screen appears

You can either Choose drag and drop a file or choose a file to upload. On the mobile apps, you will have an additional option of clicking a photo. You can also click on the Web Address (URL) tab and update a web URL for the approver to click on.

How to make these fields mandatory?
There is a time off level validation rule available that can be added at the time off type level or at the policy level. The rule is called “Require Custom Fields”. This will make all the custom fields added under the Additional fields section as mandatory.
